Database Manager

Wichita Collegiate School (WCS), a thriving Independent School located in Wichita, KS, is hiring an experienced, proactive, and detail-oriented Database Manager to oversee and optimize our fundraising database, Raiser’s Edge NXT. This position will play a key role in maintaining the integrity of our donor data, generating actionable insights, and supporting all aspects of our fundraising efforts. The ideal candidate will possess a deep understanding of database management, gift processing, and reporting, with a passion for ensuring data accuracy and quality. This role is a key part of the Development team and will support ongoing fundraising campaigns and prospect management strategies.

KEY RESPONSIBILITIES

Database Management & Integrity:

  • Oversee the day-to-day management and maintenance of the Raiser’s Edge NXT database, ensuring accurate donor records and gift processing.
  • Oversee pledge entry. 
  • Implement and enforce database protocols to maintain data consistency and quality and lead regular data audits.
  • Coordinate with various departments to ensure accurate and up-to-date records of alumni, donors, and prospects.
  • Manage complex imports, exports, and data-related projects to support fundraising activities and stakeholder engagement.
  • Supervise and train team members on database best practices to enhance data integrity across the organization.
  • Conduct annual data cleanup on an ongoing basis, especially over the summer months. 
  • Cultivate relationships across campus to ensure accurate data is coming to the development department and passionately maintain the integrity of the data. 
  • Regularly check local obituaries and keep accurate records for constituents who have passed away.

Gift Processing & Reconciliation:

  • Collaborate with the Finance team to reconcile gifts and ensure proper coding, including regular audits and financial reporting. Ensure timely and accurate entry into the database and oversee all aspects of gift and pledge processing. 
  • Lead the coordination of database support for annual and capital campaigns, including donor segmentation and reporting.

Prospect Research & Management:

  • Proactively identify new major gift prospects by researching alumni and analyzing donor trends.
  • Maintain and track a portfolio of major gift prospects, recording and updating interactions between fundraisers and prospects.
  • Provide detailed briefings on prospective donors to senior management in preparation for events and one-on-one fundraising meetings.

Reporting & Data Analysis:

  • Create and run complex queries, reports, and exports to support fundraising analysis, including tracking donor behavior and measuring progress toward fundraising goals.
  • Provide insights that inform fundraising strategies and help refine donor engagement tactics.
  • Generate regular and ad-hoc reports to support the development team's needs and assist with budgeting and forecasting.

Training & Technical Support:

  • Develop and implement training programs to ensure staff are proficient in using Raiser’s Edge NXT and other related systems.
  • Offer ongoing technical support for fundraising and data management tools.
  • Stay current on system updates and best practices, ensuring staff are regularly trained on new features.

Collaboration & Strategy:

  • Work closely with the Development team to coordinate prospect strategies, identify new funding sources, and streamline the donation process.
  • Provide strategic leadership in the use of the database for fundraising campaigns, including annual appeals and major gift solicitation.
  • Ensure the effective use of Raiser’s Edge NXT to manage fundraising workflows and improve departmental efficiencies.

QUALIFICATIONS

  • Experience: Minimum 3-5 years of experience in database management, preferably in a fundraising or nonprofit environment. Expertise in Raiser’s Edge or Raiser’s Edge NXT is highly preferred.
  • Technical Skills: Proficiency in Raiser’s Edge NXT, Google Workspace, and experience with data analysis tools. Familiarity with Financial Edge conversion is a plus. 
  • Attention to Detail: Strong organizational skills with exceptional attention to detail and accuracy in data management.
  • Analytical & Strategic Thinking: Ability to analyze data, generate insights, and inform strategic fundraising decisions.
  • Communication & Collaboration: Excellent written and verbal communication skills, with the ability to collaborate effectively with diverse teams.
  • Leadership & Training: Experience in training and mentoring staff, fostering a collaborative and high-performance work environment.
  • Other Skills: Ability to work under pressure, prioritize tasks, and meet deadlines in a fast-paced environment. Must be comfortable working independently as well as part of a team. Must be comfortable working at fundraising events and networking with our constituents. 

Physical Requirements

Ability to lift and move items up to 25 pounds. Must be able to use a computer for extended periods and engage in occasional travel for fundraising events or meetings.
